• SERVICES REQUESTED: Program design, vendor and entertainment management and sourcing for final night event of their three day conference.

• VISION & GOALS: The client envisioned an event at a Convention Center that embodied their conference theme, “Infinite Possibilities.”They requested a “futuristic, dreamworld” setting that would engage attendees and create a memorable, immersive experience, including distinct dining and afterparty areas, with a dramatic reveal of the latter.

To bring this dreamworld to life, we created an otherworldly experience that transported guests to an intergalactic space station. Neon lights were incorporated with vibrant blues, purples, and teals—hues inspired by nebulas throughout the galaxy—were used in centerpieces, linens, and décor. Every detail, from lighting to table accents, contributed to the futuristic ambiance, immersing attendees from the moment they entered the hall.

CHALLENGES & SOLUTIONS
With a tight two-month timeline and a large-scale blank convention hall, the project required precise coordination and collaboration:

• Complex Logistics: A high number of vendors, union labor requirements, and AV and setup parameters at the convention center demanded careful scheduling.

• Load-In & Setup: We created layered, staggered load-in schedules over two days, coordinating closely with the client, vendors, and convention center staff to ensure efficiency.

• Communication & Deadlines: Detailed pre-con calls and deadline grids kept all partners aligned on responsibilities, timing, and priorities.

• Vendor Relationships: Leveraging trusted vendor partnerships allowed for speed, flexibility, and innovative solutions in a condensed timeframe.

HIGHLIGHTS & SPECIAL TOUCHES

• LED dancers guided guests from the dining area into a 25-foot twinkle light tunnel, which opened to reveal a futuristic space-rave afterparty. Overhead, suspended 5-foot planets transformed the convention hall into a breathtaking cosmic dreamscape.

• Interactive Entertainment: LED breakdancer performances, stilt-walkers, aerialists, and LED robots energized the crowd and maintained a dynamic, high-energy atmosphere throughout the night.

RESULTS
The event was a resounding success, leaving a lasting impression on attendees. Every element—from design and décor to entertainment—aligned seamlessly with the conference theme delivering a truly unforgettable experience of “infinite possibilities”.
