• Services Requested: Exclusive VIP activities, venue sourcing, décor concept and creation, musical entertainment and interactive event elements  

• Purpose & Vision: The goal was to design a lively company celebration that encouraged connection and camaraderie while creating an atmosphere where attendees could let loose, dance, and truly enjoy themselves. The event served as both a recognition of the team’s hard work and a chance to foster fun, energy, and memorable shared experiences.

• Design & Theme: We embraced the spirit of the venue city of Austin by creating a vibrant Neon Cowboy theme, blending bold colors and playful details. The design encouraged guests to dress up, immerse themselves in the atmosphere, and fully join in the fun.

• Challenges & Solutions: With more than 250 individual décor elements and 18 supplier partners involved, this program demanded precise coordination. The most significant challenge was the load-in: the team had only a single day to complete the setup, beginning at 8 a.m. and with restrictions allowing just two vendors to unload at a time. To meet this challenge, we developed a detailed load-in schedule that carefully staggered vendor arrivals. Larger items were prioritized first, ensuring smaller décor pieces could be efficiently placed afterward. This structured approach allowed the installation to run smoothly and on time, despite the tight constraints.

This event stood out through a series of immersive touches that brought the neon cowboy theme to life:

• A vibrant neon tunnel entrance that set the tone from the moment guests arrived

• Interactive neon vinyl spin art stations for personalized keepsakes

• Custom leather branding for unique, on-theme souvenirs

• High-energy entertainment with a live band and line dancing to keep the dance floor full

• Playful neon cowboy hats for guests, adding to the atmosphere and encouraging everyone to join the fun
